Manager, Executive & Board Operations
*This is a hybrid position based out of our headquarters in Arlington, VA. The ideal candidate resides in the Washington D.C. metro area*
Reporting to the Vice President, Strategic Convenings and Learning Initiatives, we are seeking a highly organized professional to provide comprehensive administrative support to our Chief Executive Officer and C-Suite leadership team while playing a critical role in governance operations and board relations. The ideal candidate will support the CEO and senior leadership team and help facilitate communications on behalf of leadership and the Board of Trustees. Office presence is required during key meeting days and executive events. Flexibility to work remotely throughout the week based on business needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

Executive Support
Calendar & Scheduling Management
- Manage CEO's complex calendar, prioritizing meetings and optimizing time allocation.
- Coordinate internal and external meetings for the CEO and C-Suite team, including board meetings, international meetings, and conferences.
- Ensure meeting materials are attached to invitations and coordinate follow-up communications
- Support coordination of C-suite participation in large-scale internal and external meetings
- Plan and book comprehensive travel arrangements for CEO and C-suite (as needed) including flights, accommodation, and ground transportation.
- Create detailed travel itineraries with meeting schedules, contact information, and logistics.
- Coordinate international travel requirements including visas and documentation.
- Ensure travel preferences and loyalty program benefits are maximized.
- Perform advanced and confidential administrative duties, exercising judgment, discretion and professionalism within organization policies and practices.
- Serve as principal point of contact between CEO and internal/external stakeholders.
- Screen and prioritize incoming communications, calls, and requests.
- Facilitate seamless communication between the executive suite and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.
Board Operations
- Support Board of Trustees meetings through preparation of agendas, materials, and documentation, and ensure timely follow-up on board actions.
- Support board committee logistics and operations, as well as strategic planning reporting, by coordinating scheduling, preparing materials, maintaining governance processes, and ensuring accurate, timely data and documentation.
- Facilitate effective engagement with the Board of Trustees and committees by supporting communication, relationship management, and responsiveness to board needs.
- Monitor compliance with internal governance standards.
- Support board development efforts, including onboarding and education, and contribute to the continuous improvement of governance practices.
- Bachelor's degree preferred or equivalent professional experience.
- Three years or more of high-level, complex executive administration work experience at VP or higher level.
- Previous experience supporting C-Level executives strongly preferred.
- Occasional travel may be required to support CEO at off-site meetings or events.
- Experience with board support, governance, or strategic planning preferred
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Demonstrates proactive approaches to problem-solving with strong decision-making capability.
- Proficient in desktop applications such as Adobe, MS Word, Excel, PowerPoint, and email messaging tools.
- Experience with calendar management, expense management and travel booking systems.
- Comfortable with video conferencing platforms and virtual meeting coordination.
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
- Experience and interest in internal and external communications, partnership development, and operations.
- Ability to travel on Association business when required.
The ALS Association’s pay range for this position is $75,000 - $80,000 annually.
The ALS Association has compensation ranges for various work locations throughout the United States, allowing us to compensate employees competitively and consistently in diverse geographic markets. The above-listed listed range shows prospective compensation for this role; the appropriate range will be established by what is eventually determined to be the candidate's primary work location. Various factors, including the complexity and significance of the role, job duties/requirements, relevant experience and abilities, and primary work location, determine individual compensation. Compensation ranges are evaluated and typically adjusted on a regular basis. Offers are made within the compensation range that is in effect at the time of the job offer.
The Association may, at its discretion, offer merit-based increases tied to individual performance. The benefits listed may differ depending on employment status with the Association.
